Participation in swim meets comes with entry fees that vary depending on the meet type, number of events entered, and the host team’s structure. To simplify billing and provide greater transparency, we’ve updated our process for communicating and collecting meet fees.

All meet fees, including those for USA Swimming, YMCA specialty meets, and invitational events, will be posted in your SportsEngine account. This allows families to clearly view charges associated with each swimmer, track entries, and manage payments all in one place.

Beginning this season, meet fees will be charged to your YMCA account on the Monday following each meet. You do not need to take any additional step- your account on file will be used to process the fee automatically.

This new process replaces our previous method of individually emailing charges to families after each meet. We hope this makes it easier for you to stay organized and avoid any missed payments.

A few reminders:

  • Meet fees are set by the host teams and passed directly to us- these are not YMCA-generated fees.

  • USA Swimming meets often have both entry fees and a swimmer surcharge.

  • Charges are based on the events selected at the time of meet entry. Late scratches or no-shows may still result in a charge, as meet entries are submitted ahead of time and cannot be changed after the entry deadline.

  • If your swimmer is not able to attend a meet due to illness or emergency, please let us know as soon as possible. In some cases, we may be able to avoid the charge if the meet host allows it, but this is not guaranteed.

If you have any questions about meet fees, how to view charges in SportsEngine, or need help accessing your YMCA account, please reach out to Coach Kayla.
